How to create a schedule and populate shows/timeslots

Schedules in Studiio help you organize your radio programming by creating a visual timetable of when your shows air.

Only one schedule can be active at a time. Schedules can either be active, upcoming or expired.

You can create multiple schedules, add shows to specific timeslots, and even embed your schedule on your website for listeners to see what's coming up.

This guide will walk you through creating a new schedule and adding shows/timeslots to it.

Creating a New Schedule

Step 1: Navigate to Schedules

  1. From your Studiio dashboard, navigate to Station link in the top navigation bar.

  2. Locate the SCHEDULING section in the left sidebar

  3. Click on Schedules

  4. You'll see your schedules page (if this is your first schedule, you'll see an empty state)

Step 2: Click Add Schedule

  1. Click the green + ADD SCHEDULE button in the top-right corner (or click ADD NEW SCHEDULE if no schedules exist yet)

  2. The "Add New Schedule" modal will appear

Step 3: Enter Schedule Details

The Add New Schedule form contains several fields:

Name (Required)

  • Enter a name for your schedule in the NAME field

  • Example: "[Your Station's Name] Radio Schedule"

Description (Optional)

  • Add a short description in the DESCRIPTION field

  • This helps you and your team understand what this schedule is for

Timezone (Required)

  • Select your timezone from the TIMEZONE dropdown

  • The system will auto-detect your timezone by default

  • You can change this to any timezone if needed, including:

    • United States timezones (Eastern, Central, Mountain, Arizona, Pacific, Alaska, Hawaii)

    • Canadian timezones (Toronto, Vancouver, Edmonton, Winnipeg, Halifax, Newfoundland)

    • European and other international timezones

Active Date Range (Required)

  • Click the ACTIVE DATE RANGE field to set when this schedule will be active

  • By default, it's set to one year from today

  • Example: "November 24th, 2025 - November 24th, 2026"

Start Time (Required)

  • Select when your broadcast day begins from the START TIME dropdown

  • Common options include 6:00 AM, 12:00 AM (midnight), etc.

  • This defines the earliest time shown on your schedule grid

End Time (Required)

  • Select when your broadcast day ends from the END TIME dropdown

  • Common options include 12:00 AM (midnight), 10:00 PM, etc.

Tip: A typical 24-hour broadcast schedule might run from 6:00 AM to 12:00 AM (next day), or 12:00 AM to 12:00 AM (next day).

Step 4: Create the Schedule

  1. Once all required fields are filled in, click the green ADD NEW SCHEDULE button at the bottom

  2. You'll see a confirmation message: "Schedule added!"

  3. Your new schedule will appear in the schedule grid view

Adding Shows to Your Schedule

Once your schedule is created, you can add shows and timeslots to fill out your programming.

Step 1: Access Your Schedule

  1. From the Schedules page, click on your newly created schedule

  2. You'll see a weekly calendar grid view with days across the top and hours down the left side

  3. Empty timeslots will show as blank spaces

Step 2: Select a Timeslot

  1. Find any empty timeslot in the schedule grid where you want to add a show

  2. Drag across multiple time blocks to create a timeslot

  3. The "Timeslot Details" dialog will appear

Step 3: Review Timeslot Details

The Timeslot Details dialog shows:

  • Day: Which day of the week you've selected (e.g., "Wednesday")

  • Time: The time range you've selected (e.g., "06:00 - 08:00")

Step 4: Assign to an Existing Show or Create New Show

You have two options:

Option A: Assign to an Existing Show

  1. In the ASSIGN TO SHOW section, click the search field

  2. Start typing to search for an existing show

  3. A dropdown will appear with matching shows

  4. Select the show you want to assign to this timeslot

Option B: Create a New Show

  1. In the ASSIGN TO SHOW section, click the green + CREATE NEW SHOW button

  2. The Create New Show form will appear

  3. Fill in your show details and click 'Save Changes'

Managing Your Schedule

Viewing Your Schedule

After adding shows, your schedule will display:

  • A weekly grid view with all your shows

  • Show names and time ranges visible on each tile

  • Color-coded tiles based on your show styling choices

  • The number of shows in the schedule (e.g., "42 show")

Schedule Actions

From the schedule detail page, you can:

  • CONFIGURE: Modify schedule settings (name, description, timezone, etc.)

  • EMBED: Get code to embed your schedule on your website

  • EXPORT PDF: Download a PDF version of your schedule

  • DELETE: Remove the schedule (be careful - this is permanent!)

Editing Shows

To edit a show after creation:

  1. Click on the show tile in the schedule grid

  2. The show details form will appear

  3. Make your changes

  4. Click SAVE CHANGES

Deleting Shows

To remove a show from a schedule:

  1. Click on the show tile

  2. Click the red DELETE SHOW button in the top-right (this will delete the show and all timeslots)

  3. Confirm the deletion

To remove a timeslot from a show:

  1. Click on the show tile

  2. Find the TIMESLOTS area

  3. Click EDIT TIMESLOTS

  4. Remove your timeslot

  5. Save changes

Tips and Best Practices

Schedule Planning

  • Use consistent time blocks: Try to align shows to standard time blocks (e.g., 2-hour, 3-hour, or 4-hour segments) for a cleaner schedule

  • Color coding: Use a color scheme that makes sense (e.g., morning shows in lighter colors, evening shows in darker colors)

  • Recurring shows: Create one show and assign it to multiple timeslots using the Edit Timeslots feature

Show Details

  • Keep show names concise: Shorter names display better in the schedule grid

  • Add descriptions: Even short descriptions help listeners understand what to expect

  • Upload show images: Visual elements make your schedule more engaging

Date Ranges

  • Plan ahead: Set your active date range to cover your entire programming season

  • Seasonal schedules: Create separate schedules for summer/winter programming if your lineup changes seasonally


Troubleshooting

I can't see my schedule after creating it

  • Ensure the active date range includes today's date

  • Check that you've clicked "Add New Schedule" to save the schedule

  • Refresh your browser page

My show isn't appearing in the schedule

  • Verify that you clicked "Save Changes" after creating the show

  • Check that the timeslot doesn't overlap with another show

  • Ensure the day and time are correct

  • Check to see if your show exists via the Shows tab

The timezone is wrong

  • Edit your schedule by clicking the "Configure" button

  • Update the timezone in the dropdown

  • Save your changes

I need to delete a schedule

  • Click on the schedule to open it

  • Click the red "DELETE" button in the top-right

  • Confirm the deletion

  • Note: This won't remove shows within the schedule, it will remove the timeslots for them


Next Steps

Once you've created your schedule and added shows:

  • Embed it on your website: Use the Embed feature to display your schedule on your radio station's website

  • Export for sharing: Use Export PDF to create shareable versions of your schedule

  • Add more shows: Continue building out your complete programming lineup

  • Embed the schedule block: edit your Studio Panel layout to include the schedule block to keep up with current and past shows
